Our references to “our company” or “we” means Protean Training Services Ltd.  This privacy policy will explain how Our Company uses and processes the personal data we collect from you or you provide to us.

Protean Training Services Ltd provides training and facilitation services.  Our company number is 11921074 and our registered address is: The Stables, Money’s Farm, Bottle Lane, Mattingly, Hampshire  RG27 8LJ.

We are committed to data and privacy compliance when handling and processing personal data. We comply with the EU General Data Protection Regulation 2018 (GDPR)  and the Data Protection Act 2018.

What data do we collect?

Our Company collects the following data:

  • Personal identification information which can include: name, title, address, email addresses, telephone numbers, job role, company name.
  • Financial information to enable payment of invoices by BACS payment. This includes the bank account name, account number and sort code. It can also include payment card details.
  • For our associate trainers, delegates and learners we collect and process data relevant to the training and records in relation to the training we deliver. This can include: name, title, gender, date of birth, address, phone numbers, email addresses, job role, employer, relevant qualification details, delegate attendance lists, assessment results, feedback, development plans, photographs, DBS, vetting, references, CV, copies of certificates.

How do we collect your data?

You directly provide Our Company with most of the data we collect. We collect data and process data when you:

  • Place an order for any of our products or services or enter into any agreement with us as a supplier of services, products or personnel.
  • Correspond with us in any format.
  • Information provided by you in the creation of or during training courses.
  • Voluntarily complete a customer survey or provide feedback, including on any of our social media or via email.
  • Use or view our website via your browser’s cookies.
  • In the case of a trainers or facilitators engaged by us, any information you provide during any application or selection process or interview stage.

If you are providing other individuals personal information to us, it is your responsibility to ensure you have obtained consent from those individuals to supply that information to us and for us to collect and process their personal data,

How will we use your data?

We have two distinct categories: Our Clients and our trainers/facilitators.

Clients

  • To assist with the contracted creation, delivery and monitoring of training products and courses agreed with our clients. This can include managing any issues or queries, invoicing and making payment. We need the personal details of attending delegates so we know if all are present and accounted for. This allows us to inform you of any absentees. It also enables us to create any relevant training records you may require from us and create certificates. Personal data may also be used in feedback to improve our services.  We may also send periodic emails to you with details of other products and services.
  • Protean Training Services Ltd will not share personal information you provide us, except with the individual concerned, client or supplier of the information, our employees or any contracted trainer or facilitator directly involved with the training of that individual.
  • When our company processes your order, it may send your data to, and also use the resulting information from, credit reference agencies to prevent fraudulent purchases.
  • To enable us to process invoices and payments.

Trainers and facilitators

  • We will use your name, address, telephone numbers and email addresses to enable effective communication between us and you.
  • Bank name, account number, sort code and account name for invoicing a payment for services.
  • CV to assist with the selection of appropriately skilled trainers and facilitators for our contracts.
  • Training qualification certificates to enable us to check your qualifications and also provide the appropriate skill level for our contracts.
  • Vetting and or DBS details or records.

 

How do we store your data?

Protean Training Services securely stores your data on our email account which is password protected. We will create excel spread sheets for delegate attendance registers. These can only be accessed on one stand-alone computer, protected with individual login in and password. They will also be emailed to the relevant trainers and facilitators, with instructions to delete them at the conclusion of the training. Our website has SSL security technology.  Invoices for payment are stored on a stand-alone computer protected with individual login in and password.

How long do we keep your data for?

Except as otherwise mentioned in this privacy notice, we keep your personal information only for as long as required by us:

  • To provide you with the services and products we have agreed.
  • To comply with other laws, including for the period demanded by HMRC.
  • To support a claim or defence in court.

Marketing

Our Company would like to send you information about other related products and services of ours.

If you have agreed to receive marketing, you may always opt out at a later date.

You have the right at any time to stop Our Company from contacting you for marketing purposes.
